Your Guide to the Auto Attendant

Learn how to update your IVR Interactive voice response with our auto attendant guide. Change your greeting or updated your options any time by logging into your perfectPBX.forethought.net!

  1. To begin go to perfectPBX.forethought.net and sign in.  The user name is typically your 6 digit account number.
  2. Select media files from the menu on the left hand side of your screen.
  3. Now select voice recordings.
  4. Finally create voice recording.  Give the recording a file name, do not use spaces or special character.  Leave the format defaulted to wav.  The recording is done using one of your telephones, so select an extension from the drop down list.  When you click start recording the selected phone will ring and you can record your new message, to stop recording simply hang up.

  2. To update your auto attendant with the new recording you created in step one of this process click PBX features on the left.
  3.  Now click IVR voice/menus, remember IVR is what PBX calls your auto attendant it stands for interactive voice response.  From here you will need to select the IVR you wish to update.  In many cases there are only two available, one for regular business hours and one for after or off hours.
  4. Choose what to play using the drop down announcement menu.
  5. Select the new greeting you recorded in part one of this process.
  6. To finish simply scroll to the bottom of the screen and click save.  Changes are reflected within 15 to 20 minutes and should be ready for testing.
In this section we will set perfectPBX up to do what you want it to when a caller presses a button in the IVR.  There are many options you can set up, so this demo will only explain the most important.

To Start:

  1. Go to perfectPBX.forethought.net to login.  Your user name is your 6 digit account and your password should have been given to you upon installation.
  2. Click PBX features on the left.
  3. Now click IVR/voice menus from here then you’ll need to select the IVR you wish to update.

Popular Options:

  1. Dial extension which puts the caller through to whoever is selected in the drop down menu.
  2. Repeat menu this is often used as one of the last options for instance 9 or 0, and will repeat the current greeting and options to the caller.  This is a very important item when menu options have changed or the IVR or phone number is brand new.
  3. Go to hunt list will transfer the caller to any active hunt list you have in place.  This can be helpful when directing caller to specific work groups and can also be used for reaching on call personal or escalating priority call.
  4. Dial phone number can be used to forward caller to a DID within your own system or an external number regardless of where it’s at.  This is another great choice for priority calls and reaching on call technicians.
  5. You can choose how your company directory can be accessed either by using directory by first name, directory by last name, or as in this demo both.
  6. To finish simply scroll to the bottom or the screen and click save. Changes are reflected within 15 to 20 minutes and should be ready for testing.
